AI First: redesign, don’t patch

AI First means redesigning every process in the company with artificial intelligence built in from day one, instead of putting AI patches on processes designed ten years ago. That’s how Robust Data Solutions works, and how it runs itself. With two non-negotiable principles: AI proposes and a person decides; and the code that makes it possible doesn’t improvise.

On the left, an old process full of patches; on the right, the same process redesigned from scratch with AI built into its core

What AI First means

AI, built in from day one

Redesign, don’t patch

Your company’s processes were designed five, ten, or fifteen years ago with the technology of that time. They can’t be fixed by patching AI onto them. Every process has to be studied again from scratch, with today’s technology and with artificial intelligence built in from day one. That is AI First: redesign, don’t patch.

Each process, studied from scratch

Before touching anything, we get to know how your team really works: what comes in, what goes out, who decides and where time is lost. That’s how the diagnosis starts.

AI, part of the design

It isn’t bolted on at the end as an add-on. The process is designed with it in mind: AI reads, cross-references and prepares; people review and decide.

With the programs you already use

We add, we don’t replace: your ERP is still your ERP and your email is still your email. AI works on top of them.

Guardrails by design

Robust’s two AI First pillars

Human in the Loop: AI proposes, a person decides

Our AI works with your data and never decides on its own: it proposes, and a person always makes the final decision. No sensitive action (money, contracts, customer data) is carried out without confirmation. Before anything changes, you see what it’s going to do and approve it.

With guardrails: each person signs in with their own permissions—what they can’t do in the program, they can’t do through AI either—and every operation is logged: who, what and when.

Code that doesn’t improvise: reliability first

The core of every solution is deterministic code: given the same input, it always does the same thing. AI comes in only where it adds what no other technology can. And if something wasn’t anticipated, the system doesn’t improvise: it stops and alerts you. It’s the reliability that processes involving money, contracts or customer data demand, and the peace of mind of not having to check everything a thousand times.

Three paradigm shifts

Why “adding AI” to each program isn’t enough

The tool no longer rules: your data does

What’s really valuable in your company is your data, not the program that stores it. You keep your tools and your subscriptions, and you stop paying the “AI tax” that each vendor charges separately per conversation, per record or in credits. The tool no longer calls the shots.

A single AI on top of all your programs

Opening each program to ask “its” AI is slower than the report you already had. Our approach is the opposite: a single cross-cutting AI on top of each and every one of your programs, today’s and tomorrow’s. The value isn’t in asking one system, but in cross-referencing all of them without opening any: your whole company on one smart screen. And without being tied to any vendor.

Your email, a goldmine of knowledge

Your company email, with its entire history, holds how your company really works: what was asked for, what was promised and what was left unanswered. Hardly anyone makes use of it. Integrated with AI, with permissions and a log of every access, it brings to light quotes with no follow-up, customers waiting for a reply and mailboxes with no owner.

One cross-cutting AI or each program’s own AI

A single AI for all your programs vs. each vendor’s AI

There are two ways to have artificial intelligence in your company: use and pay for the AI each vendor builds into its program, or put a single AI on top of all of them. Here’s how they compare:

A single AI for all your programs Each vendor’s AI
How many AIs you manage
One, for the whole company. One per program, each with its own rules.
How it’s paid for
It’s part of your AI assistant subscription: you don’t pay separately for each program’s AI. Each vendor charges for it separately: per conversation, per record or in credits.
What it sees
All your programs at once: email, customers, accounting and documents. Only what’s inside its own program.
Permissions and logging
The same for the whole company: permissions per person and a log of every operation. Different in each program.
If you switch programs
The AI stays the same: the new program gets connected. You lose that AI and start over with another one.

AI first, mobile first

Mobile is the primary use case

Most browsing today happens on mobile. That’s why, in our systems, mobile is the primary use case and desktop is the variant, not the other way round. And on mobile, the most natural thing is to talk.

Talk to your company. And it talks back.

On your phone, with the Claude app, you have a real voice conversation with your company: you ask, it answers out loud, asks you to clarify when it isn’t sure, and does what you ask in your programs. It isn’t dictating a message: it’s talking to an assistant that knows your company and works with your data.

Day to day

What changes in your company

Robust Autopilots

Autopilots that handle the repetitive work on their own, always with a person in charge.

Reports and documents in moments

You ask for a report, a summary or a document and it’s ready for you to review.

More capacity with the same team

Up to 30% more team capacity, measured in diagnoses of real companies: with a €300,000 payroll, up to €90,000 more capacity to get things done. Without hiring anyone.

By voice and by text

You talk or write to your company naturally, from your phone or your computer.

With the programs you already use

We connect AI to your ERP, your CRM and your email through smart connectors, without replacing them.

Guardrails, with the law first

Each person signs in with their own identity, only sees and does what their permissions allow, and every operation is logged. Data protection and the EU AI Act, reviewed before a single piece of data is touched.

Still not sure whether AI First is right for your company?

AI First isn’t a tech fad: it’s a strategic decision. We look at your real situation to see where artificial intelligence brings measurable, lasting value to your company, and where it doesn’t.

What the AI First approach gives you:

Processes redesigned from scratch, with AI built in

Real automation, not surface-level

Decisions based on data, not intuition

More capacity with the same team

Regulatory compliance, data protection and security by design

How we work

An AI First approach, with a method

  • We always start with a diagnosis: first the tests, then the prescription

  • Expert support throughout the project

  • Regulatory compliance review in every project: data protection and the EU AI Act

  • Only what adds value gets implemented

Your programs stay

We add, we don’t replace. Your ERP is still your ERP and your email is still your email. If you ever stopped working with us, you’d keep invoicing and reading your email exactly as you do today. And you have a documented exit plan to get your data back in a usable format.

Frequently Asked Questions

What people usually ask us about AI First

What does AI First mean?

AI First means designing processes, products and decisions with artificial intelligence in mind from the start, not as an add-on at the end. Every process is rethought from scratch, with today’s technology and with AI built in from day one. And always with a person who makes the final decision.

Is it better to have one AI for everything or each program’s own AI?

For a company, a single AI on top of all its programs. Each vendor’s AI only sees what’s inside its own program; a cross-cutting AI cross-references email, customers, accounting and documents at once, with the same permissions and the same log for everyone. That’s what Robust Data Solutions does: it connects each and every one of your programs, today’s and tomorrow’s, to a single AI.

Do you have to pay for the AI each vendor sells?

No need. You keep your programs and your subscriptions, but you don’t have to pay separately for each one’s AI, per conversation, per record or in credits. With a single AI on top of all your programs, artificial intelligence is part of your business AI assistant subscription. The tool no longer rules: your data does.

Does AI First mean switching programs?

Generally, no. We add, we don’t replace: your ERP is still your ERP and your email is still your email. What gets redesigned is the processes, not the programs. Only if one is very old—say, a database custom-built years ago—do we bring it up to date first: we rescue its data and move it to a modern program, custom-built if needed, that can then be connected securely. If your data is in Excel, we start there too. We assess this in the diagnosis, before we start.

How is AI First different from simply using AI tools?

Using AI tools on top of the same old processes is patching (what is often called “AI-Enhanced”). AI First is a structural change: every process is redesigned from scratch so that AI does the repetitive work and people step in where their judgment adds value and where decisions are made.

Why is AI First a paradigm shift?

Because it changes the question. It’s no longer “where do I put AI into this process?” but “how would I run this process today, with AI built in?” Tasks that used to be done one after another can be done at the same time, information from different programs is cross-referenced effortlessly, and the team leaves the repetitive work behind to focus on what adds value.

Why isn’t it enough to digitize the same old processes?

Because digitizing an old process just moves onto a screen what used to be done before, with the same steps. If the process was designed for the technology of ten or fifteen years ago, an AI patch won’t fix it: it has to be studied again from scratch.

How does Robust Data Solutions apply the AI First approach in real companies?

We start with a diagnosis: we study how your company really works, process by process, and where time gets lost. Then we redesign the processes that add the most, connect your programs to an artificial intelligence through smart connectors, and custom-build whatever is needed. Always with Human in the Loop. In diagnoses of real companies we’ve measured up to 30% more team capacity, without hiring anyone.

What are the risks of applying AI without an AI First approach or governance?

Without redesign and without governance, AI can create inefficiencies, legal risks and dependence on a single vendor. That’s why every project goes through a regulatory compliance review (data protection and the EU AI Act), and each person signs in with their own identity, sees only what their permissions allow and leaves every operation logged.

Why not leave everything to the AI?

Because in processes involving money, contracts or customer data, reliability isn’t optional. The core of every solution is code that doesn’t improvise: given the same input, it always does the same thing, and if something wasn’t anticipated, the system stops and alerts you. AI comes in only where it adds what no other technology can, and a person makes the final decision.

What is the difference between AI-Enhanced, AI-Enabled and AI First?

AI-Enhanced adds AI as an add-on. AI-Enabled brings it in for new functions. AI First puts it at the core: without AI, the process loses its central value.

What is the origin of the AI First concept?

It was popularized by Sundar Pichai, CEO of Google, when he announced that the company was moving from “mobile first” to “AI first.” We bring it to the day-to-day of any company, without giving up the former: AI first, mobile first.

What does “AI first, mobile first” mean?

That AI is built into every process from the start, and that mobile is the primary use case, not an afterthought. Most browsing today happens on mobile, so we design for the phone screen and for voice first: you talk to your company and it talks back.
